What it does

The Rates page is your rate card. You list the routes you drive and a fare for each vehicle, and ApnaBot uses them to price a trip quickly. You also set the extra charges that can be added to a fare, and how long a quote stays valid. The Quotes tab shows every quote that was sent, so you can see who accepted and who paid.

Rates only appears for travel and cab businesses where ApnaBot has switched this feature on for you. If you don't see it and want it, contact ApnaBot support.

When to use it

Sharma Travels

Vikram does Pune to Mumbai trips every day, in an Innova and a Dzire. He adds the route once with a one-way and a round-trip fare for each car. When he later changes his prices, he edits that one place.

Steps

  1. Add your vehicles first

Fares are set per vehicle. If you haven't yet, add your cars in Fleet.

  2. Add a route

Open Rates. On the Routes tab tap Add your first route (or + Add route). Type the From city and To city. Under Fares (₹), fill in a One-way and a Round trip fare for each vehicle. Leave a box empty if you don't offer it. Tap Save.

  3. Choose the names customers will see

From label and To label are the names shown to customers. Region groups long lists, for example by state. Each can be up to 24 characters. Sort order puts routes in your order, with lower numbers first. Toll can follow your default from the Settings tab, or be set for this route only.

  4. Turn a route off, edit or delete it

Use the switch on a route to pause it without losing its fares. Tap Edit to change fares, labels or region. The cities can't be changed once saved: to rename, tap Delete and add a new route. Deleting a route also deletes its fares.

  5. Set your extra charges and timing

Open the Settings tab. Set the Night charge (₹) and the Night starts and Night ends times. The window can cross midnight, for example 22:00 to 06:00. Add a Driver allowance per day (₹) for round trips and a Minimum charge (₹). Choose how long a quote is valid under Quote valid for (hours), and when to nudge the customer under Remind customer after (hours). The reminder must come before the quote ends. Tap Save settings.

  6. Check the advance

The Advance payment card at the bottom of Settings shows the advance your business already asks for. It is the same one your bookings use. To change it, go to Settings → Advance payment. Many operators ask for about 20%.

  7. Follow your quotes

The Quotes tab lists each quote with a status: Sent, Accepted, Paid, Expired, Cancelled or Handoff. You can filter by status. A Sent quote that the customer hasn't accepted yet has a Cancel quote button.

Example

storefrontSharma Travels

Vikram sets Pune to Mumbai at ₹3,000 one-way for his Dzire, a ₹250 night charge from 22:00 to 06:00, and a 24-hour quote. A customer asks for a night pickup, so the quote is ₹3,250. Vikram sees it as Sent on the Quotes tab, then as Paid once the advance arrives and he marks it paid.

Good to know

  • Only the owner can change rates and settings. Staff can view them.
  • Fares added the older way, on the Fleet page, show on Routes as Unlisted. Tap Save to list once to list them. Their fares are kept.
  • A quote can only be cancelled while it is Sent. If the customer has just accepted it, you'll see a message and the list refreshes.
  • Handoff means the customer asked for a route you don't list, or to talk to you. It is a lead, not a priced quote.
  • The Reports page has a Quotes card with the numbers for the week or month.
